1. Purpose of Job

The main purpose of this role is to provide administrative support.

2. Principle Accountabilities

  • To manage the flow of inbound and outbound telephone calls to the Department. This will involve the screening all calls and taking messages ensuring that callers receive a high quality response in an appropriate timescale.
  • To provide administrative support including the compilation and production of letters, memos, minutes, agendas and reports ensuring all documents are produced in house style.
  • Contribute to the preparation and confirmation of accurate data.
  • To maintain diaries, arranging appointments, guidance sessions, organising meetings and the scheduling of internal and external visitors.
  • To maintain a filing systems appropriate to each areas needs and requirements.
  • To co-ordinate the flow of correspondence to the area. This will include the logging and prioritising of mail.
  • To assist in the distribution of documents to other parts of the building on a regular daily basis.
  • To perform other such duties commensurate with the grade of the post, as required by the Line Manager
