1. Purpose of Job

 To co-ordinate the operational elements of the annual data cycle and co-ordinate the workload of the relevant Registry team.

 To co-ordinate office administration, workload, prioritising tasks for completion and ensuring tasks are completed efficiently and to required deadlines.

 To provide a professional, effective, customer-focussed Registry service.

 To ensure that systems and processes are effectively implemented.

  To support the relevant line manager in the effective operation and administration of the relevant team function.

2. Principal Accountabilities

2.1 To co-ordinate the processing and validation of data associated with student achievement within the College. This will include:

• supporting the development of systems and procedures to ensure an efficient and co-ordinated approach to all aspects of achievement recording, enrolment, timetabling and registers

• the implementation of processes for data collection and maintenance to support quality improvements

• updating the College student records system with results of online tests when provided on completion of the examination

2.2 To co-ordinate the effective delivery of the College examination function including:

• examination timetabling - invigilation, access arrangements and appropriate accommodation

• utilisation of online examination facilities and development of awarding organisation software and systems as appropriate

• training and updating of invigilation staff consistent with awarding organisation requirements.

• reconciliation of invigilator pay claims to maintain financial integrity and control

• co-ordination of visits from the Awarding Body Inspectorate, in compliance with awarding organisation requirements, to maintain centre approval

• undertaking regular monitoring of examination resource including the utilisation of examination facilities, non-attendance at examinations, number of resits undertaken etc.

• co-ordination of an effective strategy to address non-attendance at examinations.

2.3 To maintain the validity and integrity of learner and curriculum data within the College, including (as appropriate to the role):

• Undertaking systematic checks to ensure the validity of learner, course and attendance data to support funding claims, utilising appropriate tools to maintain the integrity and credibility of funding data, eg PDSAT, LARS, in-house credibility checking reports, etc.

• Communication with external agencies and the wider College, providing information and support as required

• Undertaking regular monitoring of physical resources

• Co-ordination of the College’s learner records and timetabling system, providing an appropriate and responsive service

• Maintenance of the College’s electronic register system.

2.4 To ensure all curriculum and learner records are correctly completed, compliant and:

• support the timely and accurate submission of funding and data returns

• effectively support the College decision making process

• awarding organisation evidence is available for internal and external audit as required.
