LC MIS Officer

The Role

South Bank Colleges are known for being a welcoming, inclusive and supportive place to learn. We are looking to further expand our Management Information System team. We are seeking for MIS Officer, to join the team at our Clapham campus.

Permanent - 36 hours a week

MAIN DUTIES AND RESPONSIBILITIES:

  • To process data accurately and in a timely manner to meet the demands of a busy Further Education provider.
  • To work to high standards of customer service about student, staff and external stakeholders needs.
  • To provide a timely and efficient data entry services, adhering to college processes and procedures.
  • Working to agreed plans to ensure data return deadlines are met and internal data validation tasks are completed accurately and on time.
  • Support College staff to understand and adhere to college data management processes and procedures.
  • To attend training events to ensure skills are up to date and relevant.
  • Analysis of data errors looking for patterns and methods of automation in error resolution
  • Use reporting tools provided to MIS to analyse data issues.
  • Create technical processes to resolve data error patterns found.
  • Documentation of automation routines and processes in a standardised manner
  • To carry out audit checks as per instructions and guidance of the team manager supporting valid and credible data. This will include:
  • Supporting data control processes across the College.
  • Correcting funding and audit errors as directed by the Data & Compliance Manager
  • Working with Heads of Schools and their management teams process and correct erroneous data.
  • To work to the team and College business plan, ensuring deadlines and targets are met. This will include by way of example:
  • Ensuring official audit compliance tools are used as well as College reports to validate College data.
  • Supporting the course file update once the business plan is agreed.
  • Supporting the Resource team to create timetable and registers when required.
  • Supporting the register administrators to ensure attendance data is up to date and accurate.

To support other key cross-college events such as enrolment. This will include:

  • Attend required training events.
  • Support the delivery of cross-college training.
  • Attend meetings to provide continued data management support for colleagues.
  • Work additional hours and weekends for key College events such as enrolment.
  • To build timetables and registers for curriculum activity from the approved business plans, ensuring rooms and timeslots are fully utilised.
  • To ensure rooms and other resources are accurately recorded for all activities.
  • To manage room bookings ensuring ownership does not prevent fair access to this College resource.
  • To assist the Exams team in the allocation of vital exams space.
  • To liaise closely with curriculum colleagues to ensure actual timetable data accurately reflects the utilisation of staff hours, rooms and necessary teaching resources.
  • To report staff planned hours and actual delivery to Heads of School
  • To carry out periodic room occupation surveys
  • To report missing information and non-compliance in accordance with the agreed processes and procedures.
  • To support the on-going review and development of related processes, procedures as well as effectiveness of reports.
  • Follow agreed processes and procedures ensuring an efficient and first-class service is delivered.
  • Drive an annual review in line with business and system changes.
  • Support the review of existing reports and provide specifications for new and useful developments with the Head of MIS and curriculum colleagues.
  • To regularly check for timetable and register changes and run a suite of diagnostic reports that highlight missing information.
  • To support the business planning and maintenance through the following processes
  • Initial setup and rollover of business planning
  • Staff training and documentation update
  • Course management through amendments, deletion, additions
  • Fees and staffing setup
  • Validation and quality control
  • Creation of MIS system data e.g. sites, schools/departments, and subcontractors
  • Link back data to enrolments as necessary.
  • System user access to the following systems
  • Main MIS system
  • Business planning software
  • Registers and timetables

Skills & Experience

The ideal candidate will have experience of working within a college.

Candidate will hold a Personal skills in English, Mathematics and ICT by holding Level 2 qualifications with a 5-year currency (or by undertaking initial assessments at job interview stage and by achieving Level 2 within one year of their appointment date as appropriate)
