We require a well organised, flexible and proactive individual to provide comprehensive administrative support to Uxbridge College’s Sixth Form. You will undertake a wide range of administrative duties including producing correspondence and reports, assisting in arranging class cover, diary management and communicating effectively with students and staff across the College. You will also assist in the administration of UCAS applications and processes.
You should have a minimum of 2 years’ administrative experience, preferably gained in the education sector. You should also have excellent customer service, interpersonal and communication skills, and will have good working knowledge of Microsoft Office software and experience of using IT systems/databases. You will be a good team player, able to work flexibly and on your own initiative in a fast-paced environment.
Duties
- To undertake administration surrounding student letters, course factsheets, student locker paperwork, invigilation rotas for mock and national examinations relevant to the school and appropriate tracking documents relevant to departmental needs, including liaising with admissions team regarding student interview dates and the administrative tasks associated with this. Support with the timely and accurate reporting of academic progress and other to parents and guardians.
- To undertake administration in connection with student activities outside the classroom and other college events as required e.g. setting up Open Days, setting up Parents’ Evenings e.g. signage and rooms.
- To take minutes/notes of meetings and circulate information to parties concerned.
- To maintain a diary of engagements for the Head of School and Sixth Form more generally, making appointments where necessary.
- To receive incoming telephone calls on behalf of the Head of School, Section Managers, and members of the course teams, and ensure all calls are handled efficiently and effectively, always maintaining open and effective communication with parents at guardians.
- To liaise with the relevant college departments and course team members as required regarding the distribution of course literature and enquiries, ensuring any changes are conveyed as necessary.
- To input data as required onto relevant college, or other, systems and databases and produce reports as necessary.
- To raise purchase orders on the system (Aptos), for school stationary and other, maintaining a continuous stock for availability for staff when required, check and process invoices in accordance with School budgets.
- To update a database (iTrent or other) for staff sickness/absence and liaise with HR in relation to these as necessary. This includes ensuring self- certs are sent and received where required.
- To support the enrolment and admissions process through the timely processing of student applications and admissions, maintaining accurate student records and documentation, including but not limited to the arranging and marking of student entry tests for applicants who do not have appropriate qualifications and the communication of the outcome of these tests to students and parents.
- To assist the Head of School and Section Managers in ensuring effective communication and arrangements are in place for class cover, including the copying and duplication of material as required.
- To assist the Head of School in the administration of UCAS applications and processes, including checking, reviewing, and sending student applications (including checking references), advising and supporting students with the application process and reference writing.
- To distribute all incoming and outgoing mail for the relevant Sections/course teams, ensuring quick distribution, dealing personally with correspondence.
